Welcome to Chartwells Catering at Oakland University! Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 8:30 am - 5:00pm. Please contact our catering coordinator at 248-370-3400 for customized service and menus.
Policies & Procedures
To ensure optimal selection and the best possible service we kindly ask that events be booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs.
The Ordering Process
To ensure optimal selection and the best possible service we kindly ask that events be booked at least 10 business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. Substitutions may be required depending on product availability. Late orders will incur rush charges as follows: 9-7 days prior 10% of the food and beverage bill, 6-4 days prior 30% of the food & beverage bill, 72-48 hours prior 50% of the food & beverage bill, and less than 24 hours will be subject to 75% late charge. Delivery of all orders outside the Oakland Center but on Main Campus incur a $20.00 delivery charge. Delivery to university buildings off Main Campus incur a $30.00 delivery charge, all other buildings will be charged depending on location, distance, and order size. Please call our office to discuss further.
Final Guest Counts are due 5 Business Days prior to your event. The count provided at this time are considered the guaranteed count, requests to increase or decrease this number will be handled on a case-by-case basis.
Cancellation
We kindly request that cancellations be made 5 business days prior to the event date. Cancellations made less than three business days prior to the event date will be billed 50% of the total bill. Catered events cancelled less than two business days prior to the event date will be billed for 75% of the total bill. Day-Of cancellations will be billed at 100%. Cancellations due to University Closures are exempt from this policy.
Serviceware and China
We are proud to provide Sustainable Disposable Serviceware at no cost for all events. The Plates, Silverware, and Napkins are all compostable. Plastic plates and silverware can be requested and will cost $0.50 per guest. China is included for events in the Oakland Center serving lunch and dinner buffets, with a minimum of 125 guests. Events under 125 guests will be provided our sustainable disposables. All other events requesting China such as a reception, lunch and dinner buffets with under 125 guests, or events outside the Oakland Center will incur a charge of $2.39 per person.
Food Safety
Food safety and sanitation is a top priority for us. Time-Temperature Controlled Food may be served for 2 hours. Food may not sit out longer than 2 hours. If you would like to have food available longer than 2 hours, please contact our office to discuss how we can make that happen. Any unused food remains property of Chartwells Catering and cannot be removed from an event in accordance with state health regulations.
Events receiving pick-up or drop-off service assume responsibility for the safe service of food. Chartwells is not responsible for food service or clean-up of the provided containers or disposable serviceware.
Events outside of the Oakland Center
Events taking place outside the Oakland Center have three options for food service: Pick-up, Drop-Off, and Full Service.
Student Menu
To order from the student menu, you must be a student organization and ordering using an SAFB Fund number or Flex number. Student Org events are available as pickup or drop-off only, and Chartwells Catering is not responsible for the cleanup and food safety after the delivery. Full service is available after a Food and Beverage Subtotal minimum of $750 is met.
Billing & Payment
A form of payment (fund number/credit card) is required five business days prior to the event date.
Meeting Room and Equipment
Please reserve all non-food related equipment by contacting Oakland University Administration at 248-370-3245. This includes room reservation, set and room configuration, audio visual and other general information.
Event Time
Events are billed in 4-hour increments. This is to include an hour for set up, two hours of event run time, and one hour for break down. Events exceeding the 2-hour service time will be subject to additional service fees, billed at $25 per server, per hour. Catered events on weekends are subject to a minimum order of $300 per event in food and beverage. Weekends are defined by any bookings all-day Saturday and all-day Sunday.
